TQS FOOD CONSULTING LTD - PRIVACY NOTICE

1. INTRODUCTION

TQS Food Consulting hold data on our past clients, customers and enquirers and recognise that we are controllers of data. We only hold data that we have obtained either via consent, for which there is a shared legitimate interest. Whenever we use an opt in system, this requires a double opt in and all persons on our communications lists are able to opt out or unsubscribe at any time.

This Privacy Notice provides you with details of how we collect and process your data including any information you may provide. Andrew Skinner, Managing Director of TQS Food Consulting Ltd is responsible for your personal data (referred to as "we", "us" or "our" in this privacy notice). As someone who has enquired, or is a current or past client/customer of TQS Food Consulting Ltd, we need to ensure you are aware of how we manage and keep your data.

2. WHAT DATA DO WE HOLD?

Personal data means any information capable of identifying an individual. It does not include anonymised data. The information we hold is as follows:

  1. We maintain a client file containing paper copies of some correspondence between ourselves and also any of your clients' information in relation to our joint work activity.
  2. All electronic correspondence, reports, photographs and documentation required to progress your work tasks and projects (and that of your clients/customers) are held on computers. This information is regularly backed-up and held securely. All are password protected.
  3. Your name, address and other contact details (telephone & mobile numbers, email addresses), are retained in our accounting documentation (both electronically and paper) for our financial records.
  4. Profile data may be held where it relates to your interests, purchases or orders, preferences and feedback.
  5. Marketing and Communications Data include your preferences in receiving marketing communications from us and your communication preferences.

We may have to share your personal data with the parties set out below:

We require all third parties to whom we transfer your data to respect the security of your personal data and to treat it in accordance with the law. We only allow such third parties to process your personal data for specified purposes and in accordance with our instructions.

5. INTERNATIONAL TRANSFERS

Many of our third parties service providers (eg MailChimp, Dropbox) are based outside the European Economic Area (EEA) so their processing of your personal data will involve a transfer of data outside the EEA. We will do our best to ensure a similar degree of security of data by ensuring safeguards are implemented.

6. DATA SECURITY

We have put in place appropriate security measures to prevent your personal data from being accidentally lost, used or accessed in an unauthorised way, altered or disclosed. In addition, we limit access to your personal data to those agents, contractors and other third parties who have a business need to know such data. They will only process your personal data on our instructions and they are subject to a duty of confidentiality. We will notify you and any applicable regulator of any suspected personal data breach where we are legally required to do so.

7. DATA RETENTION

We will only retain your data for as long as necessary to fulfil the purposes we collected it for, including for the purposes of satisfying any legal, accounting, or reporting requirements. All client work activity data is retained during the period of the client contract. At the end of the contract/work project, all data will be held for six years from the last invoice date after which it will be deleted, unless a different time period is agreed.

By law we have to keep basic information about our clients (including Contact, Identity, Financial and Transaction Data) for six years after they cease being a client for tax purposes.
